Data controller
Linguistica is the data controller for personal data processed through this website. For any privacy request (access, deletion, portability, restriction), contact: info@linguistica.group.

1. Introduction — short summary

We respect your privacy. This page explains what personal data we collect, why we collect it, how long we keep it, who we share it with, and how you can exercise your rights. This policy applies to personal data processed via https://linguistica.group.

2. Legal bases for processing

Where required under applicable law (including the GDPR), we process personal data only where we have a legal basis to do so. Typical legal bases we rely on are:

  • Consent — where you explicitly consent (for example cookie consent for analytics tracking).
  • Performance of a contract / pre-contractual measures — processing necessary to provide requested services (e.g., quotes, project communications).
  • Legitimate interests — for running and securing the website, prevention of fraud and spam, analytics to improve the site (balanced with your rights).
  • Legal obligations — when required by law (accounting, tax, legal claims).

3. What data we collect and why

A — Comments

When visitors leave comments, we collect the data shown in the comment form (name, email, website if provided), and we also record:

  • the visitor’s IP address,
  • the browser user agent string,
  • a timestamp, and
  • an anonymized hash of your email (for Gravatar lookups).

Purpose: To publish and moderate comments, and to help detect and prevent spam.
Retention: Comments and metadata are retained indefinitely unless deleted by you or an administrator.

Third-party checks: comment text may be checked by automated spam detection services (for example Akismet or other spam filters). Gravatar is a third-party service; its privacy policy is at https://automattic.com/privacy/.

B — Media you upload

If you upload images or other media to the website, avoid embedding location data (EXIF GPS). Visitors can download posted media and may extract embedded data.

Purpose: To display content you provided.
Retention: Media remain on the site until deleted.

C — Contact forms and messages

Forms on the site (contact/quote requests) collect the information you provide (name, company, email, phone if provided, message, attachments if any). We use this data to respond to inquiries and to provide quotes and services.

Purpose: Communication, quotes, project management.
Retention: Messages are retained until you request deletion or for a period required for business administration (typically up to 2 years), unless otherwise required by law. If you want shorter retention, contact info@linguistica.group.

D — Authentication & user accounts

If you register an account on this site (e.g., to manage orders, projects or content), we store your profile information (name, email and any profile fields you provide). You may update or request deletion of your profile data; usernames are not editable.

Purpose: To provide site features and to allow you to manage your content or service requests.
Retention: User accounts remain until deleted by the user or by an administrator.

E — Cookies & local storage

We use cookies and similar technologies for site functionality, preferences, security, and analytics.

Cookies you will typically see:

  • comment_author, comment_author_email, comment_author_url — stored after you leave a comment (duration: 1 year).
  • wp-settings-<user> or wp-settings-time-<user> — WordPress UI preferences (duration: 1 year).
  • wordpress_logged_in_<hash> — login cookie (2 days by default; longer if “Remember me” selected).
  • Temporary cookie on the login page to check browser support for cookies (session cookie).

Analytics & third parties: With your consent we may use analytics services to understand site usage. These services may set their own cookies. Please consult the cookie banner and cookie settings to accept/decline analytics cookies.

F — Embedded content from other websites

Pages may include embedded content (e.g., YouTube, Vimeo, SlideShare). Embedded content behaves as if you visited the other site: those third parties may collect data on you, use cookies and track your interaction with the embedded content (including, if you are logged in to those services).

4. Who we share your data with

We do not sell your personal data. We may share personal data with:

  • Service providers acting on our behalf (hosting provider, email/SMS providers, CRM, analytics providers, payment processors, spam prevention services). These providers are contractually bound to process data only as instructed.
  • Legal / compliance recipients when required by law (court orders, regulatory requests).
  • Project partners only when you instruct us to share project files (e.g., translators, editors) and when needed to deliver the service; we ensure contracts and confidentiality requirements are in place (NDAs).

Password reset: If you request a password reset, your IP address may be included in the reset email for security.

5. International transfers

Some third-party processors may store or process data outside the EU/EEA. Where we transfer personal data outside the EU/EEA we implement appropriate safeguards (standard contractual clauses or rely on adequacy decisions) to ensure an adequate level of protection.

6. How long we retain your data

  • Comments: retained indefinitely unless you request deletion.
  • Contact form messages: retained until request deletion or for business needs (typical retention: up to 2 years).
  • User accounts: retained until account deletion.
  • Backups: site backups may include personal data and are kept by the hosting provider according to their retention policy. If you need backups containing your personal data deleted sooner, contact us.

7. Your rights

Depending on applicable law you may have the right to:

  • access the personal data we hold about you;
  • obtain a copy of that data (data portability);
  • request rectification of incorrect data;
  • request erasure (right to be forgotten) subject to legal limits;
  • request restriction of processing;
  • object to processing based on legitimate interests;
  • withdraw consent at any time where processing is based on consent;
  • lodge a complaint with your supervisory authority.

How to exercise rights: Email info@linguistica.group with “Data Subject Request” in the subject. To protect privacy we may require proof of identity before fulfilling requests. We will respond in accordance with applicable law.

8. Security

We implement reasonable technical and organizational measures to protect personal data (access controls, HTTPS/TLS, plugin updates, password policies). No system is perfectly secure; if a breach occurs we will follow local law about notification and remediation.

9. Children

The site is not intended for children under 13 (or the applicable local minimum age). We do not knowingly collect personal data from minors. If you believe we have collected such data, contact us and we will remove it.

10. Changes to this policy

We may update this policy occasionally. The “Last updated” date appears at the top of the published version. Material changes that affect your rights will be communicated prominently on the site or by email if we have your address.

12. Automated decision-making & profiling

We do not use automated decision-making that produces legal effects concerning you. Where we use automated tools for routing or spam detection, they do not produce adverse legal effects or significant decisions.

13. Third-party services and plugins (examples)

This website runs on WordPress and may use plugins and services such as Polylang (multilingual), WPForms / Contact Form 7 (forms), WP Mail SMTP (email delivery), analytics providers and spam filters (Akismet or others). Each service has its own privacy policy; you should consult them for details.
